Using Kno2 Desktop to Release a message

Sending faxes and Direct messages with Kno2 Desktop

To send a fax or Direct message from your computer desktop, install and login to Kno2 Desktop. Click here for a video tutorial.

Send a Fax

  1. Export, print, or drag and drop a document to Kno2 Desktop or the Release Folder of your choice.

  2. Repeat step 1 until all documents for the patient are selected.

  3. Upon addition of the initial document, Kno2 Desktop starts a message draft for you.

    1. The Kno2 Desktop window is brought to the front of your applications.

  4. Select a Type from the drop-down list. Your organization’s custom release types will appear first in the list. The release type acts like your subject line.

  5. Select a 'To' and 'From' fax number if not already filled by the release type.

  6. To complete your audit trail and provide detail for the recipient, you will need to add a First Name, Last Name, Date of Birth, and Gender.

    1. If you use an integrated EHR, you may use Patient Search to pull the details from the patient's chart.

    2. If you have added a C-CDA document, the patient’s name, DOB and gender will automatically populate.

  7. Check the Include Patient Details box to include Patient Details if you want those details to be sent with the message.

    1. Once this box is checked, it will remain checked for subsequent messages until deselected by the user.

  8. Add any comments you wish to include in your message to the recipient.

  9. Select Send Release.

    1. If your organization utilizes Track the Fax, select Track Fax Responses (barcode) to include a barcode with the fax if desired.

  10. Confirm all details are correct; select Send and Close.

Send a Direct Message

  1. Export, print, or drag and drop a document to Kno2 Desktop or the Release Folder of your choice.

  2. Repeat step 1 until all documents for the patient are selected.

  3. Upon addition of the initial document, Kno2 Desktop starts a message draft for you.

    1. The Kno2 Desktop window is brought to the front of your applications.

  4. Select a Type from the drop-down list. Your organization’s custom release types will appear first in the list. The release type acts like your subject line.

  5. Select a 'To' and 'From' address if not already filled by the release type.

    1. If the recipient address is unknown, the Directory lookup on the right end of the field can be used to search for and select a Direct address.

  6. To complete your audit trail and provide detail for the recipient, you will need to add a First Name, Last Name, Date of Birth, and Gender.

    1. If you use an integrated EHR, you may use Patient Search to pull the details from the patient's chart.

    2. If you have added a C-CDA document, the patient’s name, DOB and gender will automatically populate.

      1. The other fields are optional, however, we highly recommend including a Patient ID when sending Direct messages, as many recipients require that field to be completed. If you do not use patient IDs, you can include a filler ID such as 123 or ABC.

  7. Each Direct message attachment must be classified with a Document type.

  8. Check the Include Patient Details box to include Patient Details if you want those details to be sent with the message.

    1. Once this box is checked, it will remain checked for subsequent messages until deselected by the user.

  9. Add any comments you wish to include in your message to the recipient.

  10. Select Send Release.

  11. Confirm all details are correct; select Send and Close.

Confirm Message Status

You may confirm the status of the message delivery by logging in to the Kno2 web application, navigating to Release, and locating your message and status of the message on the Released grid.

Note: In order for Kno2 Desktop to monitor the release folders, you must be logged in. If you have restarted or shut down your computer for some reason, you will need to log back in to Kno2 Desktop. Any incomplete messages remain in the queue for you to finish.
