How to Handle Documents Received Through Intake

Kno2 enables you to receive documents electronically, from any activated Document Source, including Kno2 to Kno2, Direct messaging and fax. The question is, what will you do with the Kno2 message and its attachments now that you’re no longer receiving the paper fax? Even more of a challenge is that attachments received can come in virtually any format, including specific healthcare formats such as CDA, XML or HL7, requiring that you be able to open, view, print or save whatever may be received. Kno2 handles all of these complexities and more!

Once the Kno2 message and its attachments have been processed through Intake, they can be printed or downloaded from the system to be filed back to your patient charts, whether the chart is stored in paper, in your EMR, or a combination of both. In addition, for those EMRs that have the capability of receiving basic Direct messages with CDA attachments, we now allow for integration between Kno2 and the EMR. Kno2 is flexible enough to cater to your download needs, regardless of how “paperless” your office is!

In order to assist in determining the option you should configure in Kno2, the following is meant to provide further definition around the available options and illustrate the general process a user will follow for each respective process.

NOTE: The use of any of the Kno2 print/download options requires the installation of the lightweight Kno2 Client before proceeding.


Paper-based users (providers) would qualify as anyone who is solely using paper-based charts for daily patient care.

  • Every Kno2 message may have one or many attachments. Kno2 allows users to select which items to print, including the message body and any desired attachments.

  • Despite the file formats received, Kno2 converts all attachments to a “print-ready” format.

  • Once the files have been converted, Kno2 creates a single "Print Ready" package of the Kno2 message and attachments selected

  • With the “Print Ready” package, Kno2 prevents users from storing/saving confidential patient information in received documents to their local PC or Downloads directory

  • As soon as the Kno2 message is printed and "Mark as Processed", it is considered to be completed and will now be located under the Processed filter.


An office that retains some of their documentation electronically and some in paper is able to continue with the same processes using Kno2, because Kno2 allows users to determine, at the time of processing, if Kno2 messages and their attachments should be saved electronically or printed.

  • Print – The detail is the same as the above Print Option, but in addition, a user can print the attachments they want, but keep the Kno2 message in Intake by not choosing “Mark as Processed” until the next step. This will allow the user to print the desired attachments and save the remaining to an electronic format.

  • Download – Download files to an electronic format (see Electronic Records section(s) below). While some records from a Kno2 message may need to be retained in paper, the rest can be saved in an electronic format using the appropriate Download option: a. Download for a non-Meaningful Use Certified EMR b. Download for a Meaningful Use Certified EMR

Please find the full detail for these options in the respective sections of this document, but in both cases the general steps are as follows.

  • Every Kno2 message may have one or many attachments. Kno2 allows users to select which items to print or download, including the message body and any desired attachments.

  • As soon as the Kno2 message is printed and/or downloaded and "Mark as Processed", it is considered to be completed. At this point the Kno2 message will now be located under the Processed filter.

  • Until “Mark as Processed” is selected, however, the Kno2 message will remain "In Progress" and allow a user to choose what they want to do with the message and its attachments.

Electronic Records

Kno2 provides multiple options for electronically downloading out messages and the associated attachments from the system to a designated storage location, such as an EMR. The options for electronic downloads include the following and are defined below.

  • Downloading to a non-Meaningful Use Certified EMR.

  • Downloading to a Meaningful Use (Stage 1 or higher) Certified EMR.

Electronic downloads - Non-Meaningful Use Certified EMR

An office using an Electronic Medical Record (EMR) that isn’t certified for Meaningful Use can utilize Kno2’s options to save received files electronically in a format and naming structure that is designed to make importing documents into an EMR a seamless process.

  • Allows the user to select which items to save, including the Kno2 message and attachments.

  • Convert all received documents to PDF or keep the original file format.

  • The Kno2 Client is used to store the electronic document(s) to a managed directory, which prevents users from storing/saving received documents to their local Downloads folder.

  • Download received documents to a specified Patient Folder or to a Single Directory with each file named to allow for easy import.

Electronic Downloads - Meaningful Use Stage 1 or Higher Certified EMR

All Meaningful Use Certified EMRs are required to be able to successfully import an XDS-SD formatted document, however, we recommend contacting your EMR provider before proceeding with this option. The XDS-SD/CDA download option in Kno2 allows for interoperable download of the Kno2 message and/or its attachments, allowing for the seamless import of documentation into your EMR.

  • Allows user to select which items to save including the Kno2 message body and/or message attachments.

  • Converts all unstructured documents to XDS-SD and maintains the structure for all other items (CCD, CDA, etc.).

  • The Kno2client is used to store the XDS/SD document(s) to a managed directory, which prevents users from storing/saving received documents to their local Downloads folder.

  • Downloads to a single directory for automatic import into EMR. 

  • NOTE: XDS-SD and structured documents should automatically attach to patient record if EMR allows.


Many EMRs, especially those certified for Meaningful Use, have the capability to receive basic Direct messages with CDA attachments. Kno2 takes advantage of this capability to allow for integration between Kno2 and the EMR. This feature allows a processed message to be forwarded to one or more Direct addresses of the EMR, sending the message and any attachments directly into the patient record. Kno2 structures the attachments in the message to conform to the receiving requirements of the EMR.

  • Allows user to select which message attachments to forward.

  • Converts all unstructured documents to XDS-SD/CDA, and maintains the structure for all other items (CCD, CDA, etc.). (Please confirm with your EMR vendor that XDS-SD/CDA is supported).

  • If selected instead of the above, sends attachments in PDF format

  • Forwards to one or more Direct addresses of the EMR, directly into the patient chart.
