Delete a Message or Fax

How to delete a Direct message or Fax in My Intake

Written by Stacy Lane

If a received message or fax is not needed by your organization, there are two ways available to delete it. From My Intake, select the drop-down arrow on the right side of the message and click Delete.

The other option is from within the message or fax, where you are viewing it. From the far right drop-down menu, select Delete

Either of these options will remove the message or fax from your intake and the intake of all others who had permissions to process it. Note that once a message or fax has been deleted, it is not retrievable. Admins may view deleted faxes using the Deleted filter in My Intake; they may Forward a deleted message internally to make it available as a new forwarded message in My Intake

Known Behavior: Fax Shows "In Progress" After Deleting from Message View

If you delete a fax from within the message or fax view (rather than directly from the Intake list), the fax may still appear with an In Progress status in your Intake for a short time. This is a known display behavior — the delete has been processed successfully. The page reloads automatically at a set interval, so the timing of when the fax disappears can vary. Once the page reloads, the status will update to Deleted and the fax will be removed from standard Intake views. Admins can still locate it using the Deleted filter in My Intake.

Workaround for an immediate status update: Delete directly from the Intake list row instead of from within the message view:

  1. In My Intake, hover over the attachment icon on the left side of the message row.

  2. Click the attachment link that appears to preview the fax content without opening the full message view.

  3. Return to the Intake list and select the drop-down arrow on the right side of the message row.

  4. Click Delete.

When deleted this way, the status updates immediately and the fax is removed from filtered views without waiting for the next automatic page reload.
