This article explains how to add licenses and manage devices and applications in your Kno2 Connected™ app. You'll learn how to register devices, assign licenses, and maintain your add-on integrations.
What Are Add-Ons
Add-ons are devices and applications that integrate with your Kno2 Connected™ app to send Direct Secure Messages and faxes. Add-ons allow you to extend messaging capabilities to equipment and software beyond the web portal.

All devices and applications that send messages or faxes must be registered with your organization and assigned a valid license.
Before You Start
You must be an administrator in your Kno2 Connected™ app
You need valid license keys provided by your device or EMR representative
For devices: The device must have network connectivity and web browser access
For applications: The software must support integration with Kno2
Understanding Licenses
What are license keys: License keys are authorization codes that enable devices and applications to send messages through your Kno2 Connected™ app. Each license key is valid for specific device types or applications.
How licensing works:
One license key = one device or application instance
A license can only be attached to a single device or application at a time
When you remove a license from a device, the license becomes available for reassignment
License keys must be entered into your organization by an administrator
License management: All licenses for your organization are managed in Settings > Add-Ons > Licenses in your Kno2 Connected™ app.
Adding License Keys to Your Organization
Before you can assign licenses to devices or applications, you must add the license keys to your organization.
Important! Once a license key has been added to an organization, it cannot be moved to a different organization.
Step 1: Access the Licenses Section
Log in as Administrator
Log into your Kno2 Connected™ app with your administrator credentials
If you have multiple oraganizations, toggle to the desired organization if needed
Navigate to Add-Ons
Click the Settings icon (gear) in the upper right corner
Select Add-Ons from the menu
Click the Licenses tab
Step 2: Add a Single License Key
Click Add License Button
Click Enter Additional License
Enter the License Key
Paste or type the provided license key exactly as given
Verify the key is correct before proceeding
Save Changes
Click Add
Click Save Changes
The license is now available for assignment to a compatible device or application
Step 3: Add Multiple License Keys
Click Add License Button
Click Enter Additional License
Select Multiple Keys Option
Click the More than one key link
A text area opens for entering multiple keys
Enter License Keys
Paste or type all license keys
Enter one key per line
Verify all keys are correct
Save Changes
Registering Devices
Before a device can receive a license, it must be registered with your organization. Device registration happens when an administrator logs into the device using the same credentials they use for the Kno2 Connected™ portal.
How Device Registration Works
Step 1: Administrator Registration on Device
Access the Device
Navigate to the device's interface
The device provides a login screen or configuration page
Log In with Portal Credentials
Enter your administrator username (email address)
Enter your administrator password
These are the same credentials you use to log into the portal
Authorization Request Submitted
The device automatically submits a registration request to your organization
This request associates the device with your organization
Step 2: Device Appears in Add-Ons List
After the authorization request is submitted, the device appears in your Settings > Add-Ons > Devices tab within a few minutes.
Once visible, you can assign a license to the device.
Assigning Licenses to Devices
Once a device is registered, you must assign a license to enable it to send messages.
Step 1: View Registered Devices
Log in as Administrator
Log into the portal with administrator credentials
Navigate to Devices
Click Settings (gear icon)
Select Add-Ons
Click the Devices tab
You see a list of all devices registered to your organization
Step 2: Find the Unlicensed Device
Locate the Device
Scan the device list for the device you want to license
Look for the device's serial number or name
Check the status column—it should show "Unlicensed"
Verify Device Information
Confirm this is the correct device
Check the serial number matches the physical device
Step 3: Attach a License
Click Attach to License
Click the Attach to License button next to the device
A dialog opens showing available licenses
Select a Compatible License
From the list, select a license key compatible with this device
The dialog shows which licenses are available
Only compatible licenses appear in the list
Confirm and Save
Click Select or OK to confirm the license
Click Save Changes
The device is now licensed and ready to use
Important: You must have a compatible license available. If no licenses appear, verify that you have added license keys to your organization and that they are compatible with the device type.
Troubleshooting Licensed Device Issues
Problem: Cannot locate physical copies of license keys
Solution:
Request license keys from your device vendor
Problem: Device shows "Unlicensed" even after assignment
Solution:
Verify you clicked Save Changes after assigning the license
Refresh your browser page
Check if the license was compatible with the device
Contact support if the issue persists
Problem: No compatible licenses available
Solution:
Verify you have added license keys to Settings > Add-Ons > Licenses
Check that license keys are valid for this device type
Contact your device vendor to confirm you have purchased licenses for this device
Verify the license is not already assigned to another device
Problem: Device doesn't appear in the list
Solution:
Confirm an administrator has logged into the device with portal credentials
Wait a few minutes for the registration request to process
Refresh your browser page
Verify the device has network connectivity
Check the device's error log for registration issues
Managing Device Licenses
Remove a License from a Device
If you need to reassign a license to a different device, you can remove it from the current device.
Navigate to Devices
Go to Settings > Add-Ons > Devices
Find the Device
Locate the device from which you want to remove the license
It should show status "Licensed"
Remove the License
Click the Detach or Unlink button next to the device
The license is immediately removed and becomes available for reassignment
The device status changes to "Unlicensed"
Reassign if Needed
Assign the license to a different device using the same process as above
Note: Removing a license does not delete the device from your organization. The device remains registered but cannot send messages until a new license is assigned.
Delete a Device from Your Organization
If a device is no longer used or being physically removed from your location, you can delete it from your organization.
Navigate to Devices
Go to Settings > Add-Ons > Devices
Find the Device
Locate the device you want to remove
Any associated license will be released when deleted
Delete the Device
Click the Delete button next to the device
Click OK to confirm deletion
The device is removed from your organization
License Released
Any license that was assigned to the device is returned to your available licenses
You can reassign that license to another device
Note: Deleting a device does not affect any messages previously sent from that device.
Registering Applications
Applications integrate with your Kno2 Connected™ app through a similar process as devices.
Refer to your application's documentation for specific registration steps.
Assigning Licenses to Applications
Applications integrate with your Kno2 Connected™ app using client credentials. Before setting up an application, you need to obtain the App ID from your license key.
Step 1: Add a License Key
Log in as Administrator
Log into your Kno2 Connected™ app with administrator credentials
Navigate to Licenses
Click Settings (gear icon)
Select Add-Ons
Click the Licenses tab
Add License Key
Click Enter Additional License
Paste or type the provided license key exactly as given
Click Add
Click Save Changes
Step 2: Get the Application ID
Refresh Your Browser
After adding the license key, refresh your browser page
Navigate to Applications Tab
Click Settings (gear icon)
Select Add-Ons
Click the Applications tab
You will see the Application ID listed
Copy the Application ID
Locate the Application ID in the list
Copy the ID for use in configuring your application
Managing Application IDs
Understanding App ID: The App ID is automatically generated when you add a license key. It uniquely identifies the application instance in your organization.
If you need to detach the App ID:
Go to Settings > Add-Ons > Applications
Locate the application entry
Click the Detach button to remove the App ID from the license key
The App ID becomes available for reassignment if needed
Best Practices for Add-On Management
License Management:
Keep track of which licenses are assigned to which devices/applications
Regularly review your license assignments
Remove licenses from unused devices or applications to free them up
Store physical copies of license keys in a secure location with other important organization information
Device Management:
Document the location and purpose of each licensed device
Ensure each device has stable network connectivity
Monitor device activity to verify they are being used
Update device credentials if administrative passwords change
Application Management:
Maintain current contact information for application vendors
Coordinate with software vendor if multiple instances need licenses
Track which team members have access to licensed applications
Organization Maintenance:
Regularly audit your Add-Ons section for unused devices or applications
Delete devices and applications that are no longer in use
Update your records when devices are relocated or removed
Troubleshooting Add-Ons
Problem: "No licenses available" message when trying to assign
Solution:
Verify you have added license keys to Settings > Add-Ons > Licenses
Check that licenses are compatible with the device/application type
Look for licenses already assigned to other devices or applications
Remove unused licenses from devices or applications to free them up
Contact support if you need additional licenses
Problem: Device or application doesn't appear in list
Solution:
Verify the device/application registration was completed correctly
Wait a few minutes for the registration request to process
Refresh your browser page
Check device/application network connectivity
Verify an administrator used portal credentials to register
Problem: Can't log into device to complete registration
Solution:
Use the same email and password you use for the portal
Verify the device is connected to the network
Check the device's network settings
Try accessing the device from a different browser
Contact support if authentication continues to fail
Problem: License assignment was successful but device/app won't send messages Solution:
Verify the license assignment was saved (check the status shows "Licensed")
Confirm the device/application is properly configured
Check your organization's Send Permissions and Intake Rules
Review device/application logs for error messages
Contact support for further troubleshooting
Problem: Application ID doesn't appear after adding license key
Solution:
Refresh your browser page
Wait a few minutes for the system to process
Verify the license key was saved successfully
Try clearing your browser cache and refreshing again
Problem: Application configuration fails with authentication error
Solution:
Verify the API URL is exactly: https://api.kno2fy.com
Confirm the App ID, Key, and Secret match exactly what was generated (no extra spaces)
Verify the service account is enabled in Settings > Organization > API Settings
Check that you used the correct App ID from the Applications tab
Problem: I need to use different credentials for the application
Solution:
Detach the current App ID in Settings > Add-Ons > Applications
Create new client credentials in Settings > Organization > API Settings
Use the new App ID, Key, and Secret in the application configuration
Problem: Application won't send messages after setup is complete Solution:
Verify the application configuration is complete and correct in the application settings
Check the API URL is exactly: https://api.kno2fy.com
Verify all credentials (App ID, Key, Secret) are entered correctly in the application
Check the application's error logs for connection issues
Contact support if problems persist
