Resources for WebPT Message Manager Users

The WebPT team will work with you to complete your integration's setup and will keep you updated regarding their progress. The following self-serve resources are available so you can learn more about Message Manager and Kno2.

Once the Message Manager setup is complete, all new faxes are automatically processed and directed to WebPT's 'Tasking' section, which ensures a seamless transition of incoming fax communications to WebPT.

These faxes are marked as "Processed" during transfer, effectively eliminating the need for users to manually triage incoming documents. Should a received fax not appear in WebPT's Tasking section, Kno2 serves as a backup system to locate the missing fax or document.

Message Manager Resources

  • Message Manager: An overview of Message Manger is available here - Message Manager.

  • Direct Secure Messaging Address: A Direct Secure Messaging Address is an encrypted email tool that allows you to send protected health information about your patients through a secure encrypted network.

  • Inbound Faxing: Every WebPT member has the ability to send outbound faxes, but you will now have the ability to receive inbound faxes.

  • Tasking: With Message Manager and Tasking you will be able to:

  • View inbound Faxes and Direct Secure messages.

  • Link a current Patient.

  • Create and link a New Patient using the New Patient Referral.

  • Add attachments to the patient's eDocs. Please note that WebPT does not currently feature automatic task assignment for faxes. Users must manually create or select task groups within WebPT to align with organizational workflow needs.

  • Outbound Direct Secure Messaging: Sending a DSM from the WebPT EMR is a lot like sending a fax. Easily lookup and link a Physician's DSM Address right from the Physician Profile in WebPT. Once linked, the DSM address will default when you send documentation from a patient's chart.

If you have training hours available, you may schedule a training session with the WebPT team.


Using Your Fax Number in Kno2

Message Manager is powered by Kno2, the fax and DSM service provider that runs behind the scenes. Although you can work entirely out of Message Manager, should you wish to complete tasks in Kno2 for any reason, you may find the following resources to be helpful.

New faxes and Direct messages are automatically marked as 'Processed'. Users can check Kno2 as a backup location if a fax does not appear in WebPT's Tasking section.

Additionally, users are advised to review their WebPT tasking settings to confirm proper configuration and integration activity to avoid any misplacement of messages.

Quick setup steps for using faxing in Kno2

When the Message Manger integration is enabled, all received faxes and Direct messages are automatically marked as Processed; ensure you check the Processed filter in My Intake when viewing messages. If a fax does not show up in WebPT after processing, ensure that the integration is active and properly configured. As a backup, check Kno2 for the missing message.

Troubleshooting Missing Faxes

To resolve issues with missing faxes in WebPT:

  • Confirm the integration setup and ensure it is functioning correctly.

  • Double-check your WebPT tasking configurations to ensure they are correctly aligned with expected workflow outcomes.

  • Verify that the Message Manager integration setup is active and functioning as intended.

  • Refer to Kno2 for backup access to undelivered faxes.
