If your organization does not have a contacts list, a template file is available from the Contacts settings page to assist you in creating a contact list to upload. Once uploaded, users will be able to search for contacts in the To field when sending a new fax.
Downloading the template file for your organization
Navigate to Settings ("gear" icon) > Contacts.
Click the download icon in the top right.
A file will download called “Contacts.CSV”. If no contacts have ever been uploaded, the file will be a blank template file with headers only. If contacts were uploaded successfully at least once, a file will contain the currently saved contact values. See Contacts Uploader - Updating an Existing Kno2fy Contacts List for additional details on updating an existing list.
Populate Contacts List
Populate the columns of the template with your contacts, following these guidelines:
Your contacts list must have the three required text headers:
Contact Value
Name
Company
Headers must be spelled correctly but are not case-sensitive.
Must be smaller than 20 megabytes.
Contact Value, Name and Company cell values must meet data requirements shown here:
Headers | Description | Limitations | Required? |
Contact Value | The send destination value. Example: Fax Number - 10 digits. |
| Always. |
Name | A text name description of the recipient. |
| If Company is blank. |
Company | A text name description of the company associated with the send destination value. |
| If Name is blank. |
Upload Contacts List
Once your Contacts.csv file is completed and ready for upload, navigate to Settings > Contacts and drag and drop or click to upload the file.
Video Walkthrough
If the upload is successful:
A notification will display in the top-right corner indicating that “Contacts imported successfully”.
A section called “Last Successful Upload” will display with file metadata.
The following fields will appear if successfully uploaded:
File Name - This is the name of the file uploaded successfully.
File Size - This is the size of the file uploaded.
Number of Contacts - This is the number of contacts generated from the upload. This also represents the total number of contacts for an organization because only one uploaded file can be active at a time.
