How to upload contacts from an existing CSV file

If your organization is already in possession of a contacts list, it can be uploaded once you confirm it meets Contacts Uploader requirements. Once uploaded, users will be able to search for contacts in the To field when sending a new fax.

Confirm Contacts List

Verify that your contacts list meets the following requirements prior to uploading:

  1. Must be UTF-8 CSV file.

  2. Must have the three required text headers:

    1. Contact Value

    2. Name

    3. Company

  3. Headers must be spelled correctly but are not case-sensitive.

  4. Contact Value, Name and Company cell values must meet data requirements shown here:

The send destination value.

Example: Fax Number - 10 digits.

  • Cannot exceed 80 characters in length.

  • Fax numbers can be any format as long as 10 digits are present.

    • Examples

      • (XXX) XXX - XXXX

      • XXX-XXX-XXXX

      • XXX XXX XXXX

Name

A text name description of the recipient.

  • Cannot exceed 80 characters in length.

If Company is blank.

Company

A text name description of the company associated with the send destination value.

  • Cannot exceed 80 characters in length.

If Name is blank.


Upload Contacts List

Once you have confirmed that your CSV file is ready for upload, navigate to Settings > Contacts.

Drag and drop or click to upload the file.

If the upload is successful:

  • A notification will display in the top-right corner indicating that “Contacts imported successfully”.

  • A section called “Last Successful Upload” will display with file metadata.

The following fields will appear if successfully uploaded:

  1. File Name - This is the name of the file uploaded successfully.

  2. File Size - This is the size of the file uploaded.

  3. Number of Contacts - This is the number of contacts generated from the upload. This also represents the total number of contacts for an organization because only one uploaded file can be active at a time.

  4. Upload Date - This is the date the file was uploaded for an organization.

  5. Uploaded By - This is the username / email of the user that uploaded the contacts file.


Upload Errors and Warnings

When uploading a file, if the data is incorrect or the template format doesn’t match, an error message will be displayed. Please contact support@kno2.com for assistance with errors/warnings.

Errors are displayed on the Contacts page until the next successful upload, which will automatically clear the error.

If another organization administrator is already uploading a file, the following message will be displayed: "The file could not be imported as an upload is currently in progress".
